Job Purpose:
You’ll provide administration & support services to Senior Leaders within our Operations Leadership Team and their teams. Working alongside our Business Support/Business Managers, you’ll collectively provide a comprehensive business service to the heart of NATS’ business – our Operations.
Supporting Senior Leaders you’ll work as a cohesive team of support staff, ensuring that standards, procedures & best practice are consistently met. Working collaboratively to provide this support you’ll also ensure that cover is provided for each other.
This is an initial 9-month fixed-term contract required to bolster our existing resource before and during an organisational design process and potential restructure. It’s a varied, challenging role where you’ll build trusted relationships with colleagues & senior stakeholders, deliver at pace, communicate & collaborate effectively and use your exceptional attention to detail & initiative.
Key Responsibilities:
- Proactively managing the Director’s diary by organising meetings, booking facilities, making diary decisions & prioritising appropriately.
- Organising business travel & accommodation arrangements ensuring budget compliance, governance and cost-effectiveness.
- Managing emails by dealing with priority of requests & responding to emails and correspondence on behalf of the Director.
- Taking actions for key formal meetings & tracking these actions accordingly.
- Booking & co-ordination of external visitors to our NATS sites.
- Arranging large events & meetings, including locating & booking external venues.
- Raising purchase requisitions, making transactions using a corporate credit card & receipting, reporting any journals/accruals required to a Management Accountant.
- Act as a Timesheet Administrator, ensuring that all timesheets accurate & timely.
Skills & Experience:
You’ll have previous experience as an Executive/Personal Assistant or similar, preferably having supported teams that work across multiple locations. You’ll be self-motivated, proactive & comfortable recognising & managing competing priorities, taking the initiative to make decisions & respond quickly & efficiently. Key requirements include:
- Highly proficient in MS Office, SharePoint, MS Teams and NIBS.
- Collaborative team player who can work independently with minimum supervision & using own initiative.
- Confident with exceptional communication skills, both written & verbal, and credible at a senior level.
- Excellent time management & organisational skills.
- Able to exercise good judgement & use sensitivity & discretion whilst dealing with confidential matters.
- Adaptability & flexibility to work in a large, fast-paced and complex environment.
