Job Purpose:
In your new role you’ll provide clinical and administrative support services to our Occupational Health Service (OHS) clinicians enabling our Medical Centres to offer a high-quality Occupational Health service to our clients.
You’ll be managing telephone calls emails, triaging clinical matters and OHS referrals to the appropriate clinicians and advising managers and clients of clinical services available. You’ll also perform preliminary tests to prepare for medical assessments including height and weight measurements, urinalysis, ECG, audiometry and finger point phlebotomy (Hb/Cholesterol) with the utmost sensitivity and discretion.
This role will be based predominantly on-site at our Prestwick centre, with occasional remote working.
Other key responsibilities:
- Ensure all regulatory medical documentation is entered into the clinical software system, OPAS, SharePoint and the Civil Aviation Authority’s system CELLMA.
- Process Pre-Employment Health Declarations, liaising with HR and clinicians and advise on progress and/or delays.
- Arrange equipment calibration and order medical supplies for our clinics.
- Deal with medical queries, ensuring OHS Doctors’ appointments are allocated appropriately and direct other issues to clients’ GPs or Walk-In Centres.
- Raise Purchase Orders ensuring invoices are paid on time, liaising with the Finance team.
- Provide administrative support to clinicians including minutes for meetings, protocols and procedures, mail sifting, clinical referrals, booking meetings, managing Outlook diaries and coordinating travel arrangements.
Key skills & experience:
You’ll have previous experience in an administration role in a busy, fast paced environment. You’ll be an empathetic and customer-focused individual who is highly organised with excellent attention to detail, and you’ll have exceptional communication skills with the ability to deal with people at all levels in a professional, sensitive and diplomatic manner. Other key requirements include:
- Excellent IT skills – MS Office, SharePoint etc
- Superior interpersonal skills and able to build rapport and trust with ease
- Collaborative team player with the confidence to work independently
- Able to work with discretion and confidentiality re. sensitive medical matters
- Previous experience in clinical / medical administration will be a distinct advantage
