Job Purpose
We are looking for an experienced Administrator to carry out a Technical Services Support role. You will provide comprehensive, consistent, and efficient support to multiple departments.
Other duties include
- To provide effective PA & Management Support to the Director, their Leadership Team and wider business area.
- Support with diary management, meetings & event planning, collation of various management information for key forums.
- Helpdesks support: Monitor, action and assign emails on helpdesk. Capturing all information via tracker spreadsheets and ensuring progress, action and seeing through to completion. Attendance of weekly team meetings to ensure progress.
- Raise Order Requests, Service Request, problem reports or work instructions; and cross referencing using in house tracker and seeing them through the process to closure, adding statements and dates where needed.
- Support with exec approvals and site access requests for the NATS sites.
- Assist Technical Services with purchasing, receipting, contractor engagement, audit management, resolving queries, purchase card purchases, travel and conference bookings, meeting support, updating spreadsheets and financial monitoring when required.
- Support for various applications – receiving application requests, sifting the applications to establish those that need a full assessment, carrying out the assessment, distributing to relevant technical and Air Traffic Control operational assessors and maintaining the databases of applications.
- Manage onboarding of contractual staff, maintain contract information and ensure the renewal of contracts.
- Updating our SAP system to ensure we retain up to date information
Essential Skills and Experience
- Experience in a fast-paced Administration function.
- Excellent knowledge of IT applications – Office 365, SharePoint etc.
- Knowledge of Supply Chain Management procurement tools (preferably SAP)
- Ability to prioritise tasks according to business needs.
- Must be able to work to strict timescales and adapt quickly and easily to changes in tasks.
- Must have excellent interpersonal and communication skills and be able to work both autonomously and as part of a team, sharing knowledge and resolving issues as a team.
- Confident manner, capable of exercising good judgement and sensitively dealing with confidential matters.
