As a Document Service Operative, you will play a key role in providing an excellent service and meeting our customers’ requirements. You’ll be based at one of our client production facilities which will involve working as part of a team, and in accordance with established QA process standards and systems.  Responsible for generating high volume, high quality digital material/s for our client, you can build effective relationships and resolve any client queries speedily and efficiently, referring to the line manager as necessary.

Working as part of the Information Management Services team, you will be supporting the archiving and document retrieval team in which the client requires large quantities of documentation to be digitised and fed into the clients document management system. Within Document Retrieval, documentation is to be retrieved from various locations and provided to the client in the desired format. Full training will be given, however previous experience of using document scanners, document management systems and data entry would prove beneficial.

The role will require a fair amount of manual handling as the team manoeuvres archived documents around the site. The ability and willingness to drive the company van would be advantageous, thus a full driving licence is preferred.

What we ask

Responsibilities & Tasks:

  • Follow established guidelines and procedures for receiving, documenting, scanning & indexing, retrieving and archiving customer documents.
  • Develop strong relationships and effective communication with both customers and staff.
  • To complete various forms of scanning, including flatbed and automatic document feeder, complete preparatory work for scanning and complete sortation of documents.
  • Ensure scanning is carried out with 100% accuracy, and within customer SLAs. Undertake quality checking of documents to ensure complete accuracy and record any ‘near-misses’ or actual errors in accordance with site non-conformance reporting procedure.
  • Index documents with correct categorisation information, and intelligently search through customer data to ensure 100% accuracy. You operate methodically, with a keen eye for detail.
  • Ensure quality control of documents entered into document management system, including appropriate indexing and optimum resolution of scans.
  • Ensure that hard copy documents are stored appropriately, and in an organized manner with a clear audit and archiving trail.
  • Help with the manoeuvring and archiving of documents by supporting the upkeep of various archive locations on site.
  • Perform document retrievals which require a courier service between out archive partners. Thus being able to drive the company van.
  • Ensure that the Team Leader is regularly informed of work progress and highlight issues or improvement opportunities.
  • Always maintain good housekeeping and a tidy environment. Comply with site Health and Safety regulations.
  • Undertake any adhoc duties as requested by line management.

Required Skills & Qualifications:

  • Required Skills & Qualifications: IT Proficient – You will be a confident computer user who demonstrates accurate keyboard & word processing skills.  A good working knowledge of MS Office, including Microsoft Word is essential. Previous experience maintaining company records in an electronic database is desirable.
  • Experience of operating both document scanning and print room reprographics equipment would be a distinct advantage, though not essential and full user training shall be given. More importantly you have an inquisitive mind, enjoy learning new skills, and be a confident computer user with some experience of processing different document types.
  • Good written English and numeracy skills.
  • High level of attention to detail, with strong organisational skills.
  • Good Communication skills.
  • Strong Customer Service skills required.
  • Willingness to handle archive boxes up to 15KG.
  • Manual handling training will be provided.
  • Motivated and proactive, you operate with a flexible approach to work that ensures that our customer commitments are met.
  • A full / clean driving licence and willingness to drive the company van would be advantageous.

Salary: £23,629.00 per annum (Pro rata)

Location: Derby
